Census CRM, Inc. (“Census CRM,” “we,” “our,” or “us”) provides a customer relationship management platform designed for addiction treatment center admissions teams. What Personal Data We Collect and Why We Collect It

IP Addresses (Server Log Information)

An IP address is a number automatically assigned to your computer whenever you access the internet. All computer identification on the Internet is conducted with IP addresses, which allow computers and servers to recognize and communicate with each other. Census CRM collects IP addresses in order to conduct system administration, report aggregate information to affiliates, subsidiaries, sponsors, advertisers or partners, and to conduct site analysis. Census CRM will also use IP addresses to identify any users who refuse to comply with Census CRM's Terms and Conditions, and to identify users who threaten Census CRM's service, site, users, clients or others.

Contact Information

Census CRM collects personal and organizational contact information from our customers, including, but not limited to, names, email addresses, phone numbers, mobile numbers, and physical addresses. This information may also be stored in the Census CRM system on behalf of our customers.

Census CRM does not share mobile information (including phone numbers and SMS opt-in data) with third parties, affiliates, or partners for marketing or promotional purposes. Additionally, text messaging originator opt-in data and consent will not be shared or sold to any third party.

Information may only be shared with subcontractors or service providers as necessary to deliver the services requested, such as enabling technical integrations or customer service, and always under strict data protection agreements. Census CRM may also share information as required by law or in response to a valid court order.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor's IP address and browser user agent string to help spam detection. Visitor comments may be checked through an automated spam detection service.

Registration (User-Supplied Information)

Census CRM site registration systems require users to provide contact information such as their name and email address, and demographic information such as organization and/or role. The user's contact information is used to contact the user when necessary. Users may choose (opt-in) to receive future mailings. Census CRM uses this data to tailor the user's experience, showing the user content that reflects their stated preferences. Census CRM places a text file called a “cookie” in the browser files of your computer. Census CRM uses cookies during your online session to deliver content specific to your interests. Cookies allow Census CRM to avoid showing you the same message repeatedly. Google API Limited Use Requirements

Our application, Census CRM, adheres to the Limited Use requirements outlined in the Google API Services User Data Policy. The use and transfer of information received from Google APIs to any other app strictly follow these policies.

Google Ads API Data Usage

Census CRM utilizes the Google Ads API to transmit lead conversion data to Google for tracking and reporting purposes. The only data collected and transmitted to Google is the Google Click Identifier (gclid) entered by users to indicate lead conversions.

Limited Use Requirements: Census CRM strictly adheres to the Limited Use requirements outlined in the Google API Services User Data Policy, specifically for data obtained through the Google Ads API. We ensure that any data transmitted to Google via the Google Ads API is limited to the Google Click Identifier (gclid) provided by users for the sole purpose of tracking lead conversions.

Data Security: We prioritize the security of user data transmitted to Google and implement industry-standard security measures to protect against unauthorized access, disclosure, alteration, or destruction of such data.

Use of Third-Party Tools and AI Models: Census CRM does not use or share any user data with third-party tools or AI models. We are committed to protecting the privacy of our users, and any data collected and transmitted through our app is solely for the purpose of providing our services and complying with the terms outlined in our privacy policy and relevant third-party service agreements.

User Consent:By using Census CRM and enabling the transmission of lead conversion data to Google via the Google Ads API using the Google Click Identifier (gclid), you implicitly consent to the collection, transmission, and usage of this data in accordance with this Privacy Policy and Google's policies regarding user data.

Who We Share Your Data With

Census CRM does not share your data with any third party, unless the sharing of that data is required in order to provide active users with the service that said active users have signed up for and require the use of third party integrations.

SMS / Text Messaging Terms

Census CRM (operating under the brand name QuickAdmit for messaging services) and its customers may send text messages (SMS/MMS) to end users who have provided their phone number and explicitly opted in to receive such messages. By opting in, you consent to receive text messages from Census CRM including but not limited to: appointment reminders, account notifications, verification codes, status updates related to admissions processes, and service-related communications.

Consent and Opt-In

You may opt in to receive text messages by providing your phone number and checking the SMS consent box on our website contact forms, or by providing written or verbal consent through other channels. Consent to receive text messages is not a condition of purchasing any goods or services from Census CRM.

Message Frequency

Message frequency varies based on account activity and service needs. Recurring messages may be sent for appointment reminders, verification codes, and account status updates.

Opt-Out

You may opt out of receiving text messages at any time by replying STOP to any message received from Census CRM. Upon receipt of your STOP request, you will receive a single confirmation message and no further messages will be sent. You may also contact us at support@censuscrm.com to opt out.

Message and Data Rates

Message and data rates may apply. Census CRM is not responsible for any charges incurred by your mobile carrier for sending or receiving text messages.

Carriers Supported

Census CRM supports messaging to all major U.S. carriers including AT&T, Verizon, T-Mobile, Sprint, and others. Carrier delivery is not guaranteed. Messages may be delayed or undelivered due to carrier restrictions.

No Sharing of SMS Data

Census CRM does not share, sell, or distribute phone numbers, SMS opt-in data, or text messaging consent with any third parties, affiliates, or partners for marketing or promotional purposes. SMS opt-in data and consent information is used solely for the purpose of delivering the messaging services described herein.

How Long We Retain Your Data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile for as long as the user's account is active and up to 72 months thereafter account cancellation. All active users can see, edit, or delete their personal information at any time.

HIPAA Compliance

Census CRM is designed with HIPAA compliance as a core requirement. Our platform implements PHI encryption at rest and in transit, comprehensive audit logging, role-based access controls, session management, and reauthentication gates. This marketing website does not collect or store Protected Health Information (PHI).
